Developing and implementing ISO 9001:2015 QMS – 10 – Conducting Initial Status Survey

With the actions taken by the organization so far, it looks that the organization is now ready to implement ISO 9001:2015 QMS, but it will be better to know the current status of the organization's system and gaps between the organization's system and the requirements of ISO 9001:2015 QMS standard, so conducting an initial status survey will be a good idea. The organization may use one or more of the following:

 

-        Self-assessment

 

-        Assessment by an external organization or by a consultant

 

The importance of the initial status survey in the ISO 9001:2015 Quality Management System (QMS) implementation process cannot be overstated. This crucial step lays the foundation for a successful and effective QMS implementation. Following are the key reasons to conduct the initial status survey:

 

-        The initial status survey provides assessment of current state of the organization, where it stands in terms of quality management system and compliance.

 

-        The initial status survey helps identify gaps and deviations needs to be addressed.

 

-        The initial status survey serves as a baseline or foundation for improvement.

 

-        The organization will be able to develop a targeted and tailored implementation plan.

 

-        The initial status survey will judge resource needs and prevent unnecessary resource allocation.

 

 

Self-assessment can be conducted by task force team members, who are competent and trained in ISO 9001:2015 QMS. Many external consulting organizations and individual consultants also provide initial status survey service. The person, conducting initial status survey, should be well aware of organization’s processes.

 

Initial status survey should be helpful in determining the following:

 

-        Any need of efforts required for the development and implementation of ISO 9001:2015 QMS in the organization

 

-        Any need of documented information in compliance to ISO 9001:2015 QMS in the organization

 

-        Any need of change in the organizational structure

 

-        Any need of change in the processes of the organization

 

-        Any need of change in the action plan

 

-        Any need of additional resources

 

In the initial status survey, it should also be found out whether required documented information are created, updated and maintained / retained as per the requirements of ISO 9001:2015 QMS standard. In case of any gap determined with regard to documented information should be noted for further action of implementation.

 

Checklist questions may be helpful for conducting initial status survey. Persons involved in initial status survey should obtain or prepare checklist questions for proper assessment. After conducting initial status survey, the organization will be in a position to know the gaps between the organization’s quality management system and the requirements of ISO 9001:2015 QMS standard. Any requirements of the standard not implemented are now known to the organization and now the organization knows the clear path of implementation and expected time target as mentioned in the action plan.
